CONTEXT OF THE JOB:
The University Student Centers (USC) cultivate a vibrant, inclusive, community in which students learn and thrive at the University of Delaware. As part of the Division of Student Life, the Trabant University Center and the Perkins Student Center serve as the social and educational epicenters for the campus, providing vibrant and intentionally planned engagement opportunities that support USCs’ learning outcomes, but also those of the Division of Student Life and the overall educational aims of UD, as articulated by the General Education purposes and objectives. The USC team affords every student a path to contribute to the campus community and heighten their sense of belonging through on-campus employment opportunities, nationally recognized leadership development programs, over 300+ Registered Student Organizations (RSOs) and dynamic and engaging campus events and traditions. The unique cross-functional nature of the department, which includes facilities, events, student organizations, and leadership programs, necessitates that each professional staff member pursues cross-unit collaborations and partnerships, as well as assumes some cross-functional duties and roles, such as opening/closing the facility based on event coverage; rotating evening-duty, serving as a professional advisor to RSOs, and providing programmatic support for department and divisional events. Collectively and through collaboration, USC team members play a critical role in actualizing the Division of Student Life mission and vision.
Under the general direction of the Associate Director for the University Student Centers’ (USC) Student Involvement Office, the Program Coordinator is charged with enhancing the student experience within the Registered Student Organizations (RSOs) and guiding RSOs and their members to evolve and develop in support of student participation and campus engagement. Administers the recognition process and approval of potential new student organizations and training of current organizations, as well as supports the allocation of funds to RSOs.
MAJOR RESPONSIBILITIES:
RSO Recognition, Support, and Oversight
- Administer the recognition and approval of new student organizations including facilitating meetings regarding RSO interest, constitution review and approval, organizational mission review, and general training which align with University policies.
- Serve as a resource to 400+ RSOs with event planning, funding, and organization. Provide guidance, mediation, and support to foster student organization and individual member growth and success. Manage the coordination of University Services and Resources to support RSO events, programs and travel. Main point of contact for RSO Formals, Semi-formals, and lawn use events (e.g., events hosted on the Green, Old College Lawn, and other non-Student Center spaces).
- Coordinate and facilitate training of all RSOs, including but not limited to, President’s training, risk management, Title IX, event programming production, and organizational standards and expectations.
- Educate student leaders and assist them in maximizing their RSOs potential for operational success and compliance with university and department expectations.
- Oversee RSO compliance with University of Delaware policies related to hazing, discrimination, alcohol and drug use/abuse, sexual assault, liability, and risk management.
- Educate RSO student leaders and advisors about the University Code of Conduct, facility policies and procedures, relevant local, state, and federal laws, and fire and safety codes.
- Select, hire, and train and assess five Involvement Specialist student staff.
- Responsible for the coordination of on-site and front-line response to crisis situations for respective RSOs, including those that are highly complex in nature and may be life threatening. Provide non-clinical student counseling, student mediation, crisis intervention, and referral services. Identify critical issues, assess student behavior, and communicate effectively with supervisor to formulate response (educational and student conduct) to student concerns.
- Work in partnership with Community Standards and Conflict Resolution (CSCR) to support organization and individual member accountability. Serve as the primary support person to RSOs working to return to good standing and/or completing CSCR imposed sanctions.
Programs and Advisement
- Assist the University Student Centers with planning, producing, and assessing two Involvement Fairs. Work directly with the Associate Director of Student Involvement on all facets of both events and take direct coordination in case of the absence of the Associate Director. Provide direction and coordination to 300+ RSOs, student leaders, department partners, and more to ensure a safe and high level of successful Involvement Fairs. Provide direction to and coordinate with a team of staff and students working both Involvement Fairs.
- Advise UDance Dance Marathon (RSO), which is responsible for planning the annual UDance Marathon, the largest student philanthropic event at the university, raising $1.8+ million annually. Design and plan logistics for annual leadership retreat and work collaboratively with the B+ Foundation (or other non-profit beneficiary) on best outcomes for all participants. Ensure compliance with university financial, facilities, and risk management policies and procedures in the delivery of all UDance events, programs, and initiatives.
- Assist with assessment and data collection initiatives pertaining to student development and program and event management to ensure learning outcomes are achieved.
- Provides necessary training and assessment to achieve positive student learning outcomes.
- Serve as the primary liaison to a portfolio of RSOs and advisors, regarding operations, recognition, university policies, conduct cases, and other relevant issues.
- Support the work and mission of the Division of Student Life through committees, task forces and special assignments.
- Serve on-call for evening events as part of rotational team to support student staff and provide a new lens and perspective about facility operations, students, events, and programs to inform training programs and services.
- Assist supervisor in implementing major departmental initiatives related to department strategic plan and program plans.
Administrative
- Ensure compliance with university financial, facilities, and risk management policies and procedures.
- Write reports, provide benchmarking and best practice research, and fulfill other projects as assigned by the Executive Director.
- Participate in department, divisional, and institutional professional development and growth opportunities to maintain current knowledge of student development and student learning research, theory, and practice that best serve the needs of students. Develop scholar practitioner practices to create and share knowledge with colleagues.
- The Program Coordinator develops positive working relationships and partnerships with other university departments in Student Life, Academic Departments, Athletics, Development and Alumni Relations, UDPD, Risk Management, and Purchasing / Accounting / Business, and Dining Services in the advisement of students and delivery of creative, innovative programs, and large-scale institutional events.
- As part of the cross-functional nature of this department, the Program Coordinator helps student allocation board members understand the financial model of the Trabant University Center and Perkins Student Center and the importance of effective and creative utilization of spaces to promote campus vibrancy. The Program Coordinator also serves as an advisor to RSOs, assists with training and facilitation of student leaders, and provides facility-related support during large-scale events and campus emergencies.
- Maintain relationships with key division and institution partners.
- Perform other job-related duties as assigned.
QUALIFICATIONS:
- Master's degree preferred in student personnel or other related discipline and one-year related experience, or equivalent combination of education and experience.
- Knowledge of college student learning and developmental theories.
- Ability to work effectively with a wide range of constituencies in a diverse community and rapidly changing technical environment.
- Ability to apply assessment practices related to student growth, learning and success within student organizations.
- Excellent written and verbal communication skills, organizational skills, presentation skills, and program development skills are essential.

- Ability to develop and coordinate multi-task projects and implement large-scale programming events.
