CONTEXT OF THE JOB: Under the general supervision of the Event Manager, the Service Supervisor works collaboratively to ensure that meeting room set-ups, preparation for food service, and audio-visual equipment are set according to client specifications. The Service Supervisor addresses any client changes and/or requests during conferences. To accomplish these goals, the Service Supervisor hires, trains, and manages a pool of miscellaneous wage personnel in order to provide optimal cost-effective levels of support for any and all events.
MAJOR RESPONSIBILITIES:
- Supervises and trains a pool of dedicated and skilled miscellaneous wage staff that can cover a myriad of miscellaneous wage positions for use in preparation and maintenance of event spaces for functions as well as providing customer service throughout events.
- Initiates and coordinates all hiring efforts for miscellaneous wage staff. Creates and utilizes training programs regarding job-specific skills.
- Serves as the chair of the Clayton Hall safety committee.
- Trains miscellaneous wage staff in customer service techniques and attitudes as well as ‘frequently asked questions and their answers.
- Coordinates all scheduling of miscellaneous wage personnel to accomplish the various workloads with a goal towards budget consciousness.
- In coordination with event managers, oversees and monitors functions and handles client changes, requests and customer service issues.
- Collaborates with event personnel and catering staff to ensure the mutual satisfaction of client needs and University of Delaware objectives before and throughout events.
- Ensures the proper set-up of meeting spaces that includes furnishings, decorative materials, availability of media specialists and audio/visual equipment.
- Assists Facilities staff and conference center management in maintaining the general condition of conference spaces and acts as liaison with University of Delaware Facilities and Grounds personnel as well as outside vendors to report and monitor the correction of damage, malfunction or general wear and tear of conference spaces and furnishings.
- Attends staff meetings to address concerns regarding the miscellaneous wage staff and event set-up procedures.
- Attend scheduling meetings to stay up to date on all upcoming events and conference guest needs. Reports to Senior Event Manager on up to date equipment and furnishings inventory status as well as maintenance concerns.
QUALIFICATIONS:
- High School Diploma/GED with three to five years related experience
- Experience with conference/meeting functions and/or customer service responsibilities.
- Supervisory and training experience.
- Effective organizational, interpersonal and communication skills.
- Ability to work with a wide range of constituencies in a diverse community.
- Ability to foster a cooperative work environment.
- Computer familiarity including a functional grasp of event software and general office software.
- Problem-solving skills.
SPECIAL REQUIREMENTS:
- Must be able to work evenings and weekends.
- Ability to lift equipment weighing up to 50 lbs. with or without assistance.
