CONTEXT OF THE JOB:

The Office of the University Registrar, as part of the Enrollment Management Team, manages information systems, maintains students’ academic records and provides educational support services for the University community.

Under the limited direction of the Senior Systems Analyst, the Assistant Registrar is responsible for the administration of the electronic academic catalog and curriculum management systems. As such, this position serves as editor of the Undergraduate & Graduate Catalog, collaborates with academic units to ensure an accurate and comprehensive catalog is produced each year and works closely with Faculty Senate committees during the course and curriculum approval processes.

 

MAJOR RESPONSIBILITIES:

  • Responsible for all facets of the academic catalog; including ensuring consistency of catalog and policies.
  • Ensure that all curriculum changes made through the Faculty Senate process are accurately maintained within the academic catalog and student information system (UDSIS.)
  • Administer the university’s course change and approval process and ensure course information is maintained accurately in the academic catalog and student information system.
  • Serves as the bridge between the catalog/curriculum vendor and the University’s IT department for problem-solving, testing and software upgrades.
  • Create and maintain coding in the Student Information System (UDSIS) as new programs are approved by the Faculty Senate.  Update the academic structure in UDSIS, including reviewing Faculty Senate-approved changes and modifying the system accordingly.
  • Serve as liaison to and resource for the Faculty Senate Undergraduate Studies Committee.
  • Serve as liaison to the Office of Graduate and Professional Education for curricular and catalog changes.
  • Collaborates to support degree audit coding.
  • Meet and collaborate with academic departments to provide guidance on catalog process.
  • Function as the primary point of contact for academic policy review and revision within the Registrar’s Office:
    • Research peer institutions and industry best practices.
    • Review current tracking/enforcement of University policies and recommend changes where needed.
  • Communications:
    • Prepare and maintain documentation for computer processes.
    • Create systems training materials for the campus community.
    • Respond to various inquiries from University constituencies.
    • Collaborate with the Office of Admissions to ensure the catalog is an effective marketing tool for prospective students.
  • Manage projects in response to the ever-changing needs of the campus community.
  • Performs miscellaneous job-related duties as necessary.

QUALIFICATIONS:

  • Bachelor’s degree and three years of progressively responsible job-related experience, or an equivalent combination of education and experience.
  • Experience with PeopleSoft Student Administration and Microsoft Office tools highly desired.
  • Possess the highest degree of integrity and maturity due to the sensitive, confidential nature of students’ records.
  • Possess strong organizational skills, be able to work independently and collaboratively, effectively manage multiple projects and have the ability to analyze and solve problems in a rapidly changing environment.
  • Excellent oral, written and customer service skills, and the ability to interact well with people of all ages and diverse backgrounds.
  • Ability to develop and conduct training.
  • Ability to work with a team of functional and technical staff to manage system processes.
  • Knowledge of academic policies and procedures beneficial.
  • Requires writing and editing proficiency; related educational background preferred.
  • Experience with curriculum/catalog software and processes highly desirable
  • Project management skills are necessary.
  • Demonstrated understanding and consideration of the differing needs and concerns of individuals with varying identities, cultures, and backgrounds.
