Context of the Job:

Under the general direction of Manager of the Physical Therapy Clinical Operations and Associate Director of the Physical Therapy Clinic, the Administrative Assistant III will administer business and communication aspects of the physical therapy clinical services.

Major Responsibilities:

  • Responsible for maintaining, auditing, and reconciling financial records for the PT Clinic.
  • Gathers administrative and financial information that the Manager, Director, and/or Associate Director may need for decision making purposes.
  • Develops and assists the Associate Director with scheduling processes related to PT providers and residents.
  • Works on clinic coverage when PT providers are away from the clinic. This includes either rescheduling patient appointments, or finding alternate providers to cover patient treatment and student supervision.
  • Conducts special analyses related to the PT Clinic operations, and makes recommendations to the Manager and Associate Director.
  • Keeps Manager and Associate Director apprised of issues, follows up and tracks work flow and resolves problems relating to procedures and deadlines.
  • Maintains inventory of PT Clinic equipment. Track and runs reports of expenditures related to equipment purchases and repairs. Works with equipment vendors to ensure that orders are placed accurately, and equipment is received in a timely manner. 
  • Assists the Associate Director with special projects pertinent to the clinic that may involve knowledge of Microsoft Word, Excel, Access and Power Point.
  • Assists the Manager with HR related requirements for hiring and record keeping.10. Performs other duties as assigned.

Qualifications:

  • High school diploma or GED, Associate's degree preferred, and three to five years of related administrative support experience. Experience in medical office procedures preferred. 
  • Experience in data collection, which includes collecting, compiling, and maintaining data from multiple sources such as files, records, databases, and staff. 
  • Experience in obtaining administrative and financial information for which an administrator may base decisions for making recommendations.
  • Knowledge of creating reports which includes combining and presenting data from multiple sources in an organized format.
  • Knowledge of cost analysis techniques. 
  • Strong analytical and technical skills, including the use of financial management systems, spreadsheets, word-processing, database management, and presentation software programs. 
  • Demonstrated ability to work independently and as part of a team environment.
  • Strong organizational and time management skills, and ability to handle multiple tasks. 
  • Strong attention to detail.
  • Demonstrated communication and interpersonal skills.
  • Demonstrated understanding and consideration of the differing needs and concerns of individuals with varying identities, cultures and backgrounds.

  • Knowledge of university policies and procedures is preferred.
