CONTEXT OF THE JOB:


Under limited supervision of the Business Administrator and the Chair, the Academic Support Coordinator supports the day-to-day operation of the graduate and undergraduate programs for the Department of Languages, Literatures and Cultures (DLLC). The major emphasis of this position is generating and disseminating a variety of student- and program-related information. The Academic Support Coordinator performs advanced tasks that require the ability to prioritize, exercise initiative and to think critically in order to solve problems as they arise. This person must have strong customer service/interpersonal skills and be able to work effectively with diverse, multi-generational constituencies within the University and the broader community. A high level of independent judgment, initiative, organization and problem-solving skills are required.

MAJOR RESPONSIBILITES:  

• Serve as the point of contact for faculty, students and the University on behalf of Department undergraduate & graduate programs.
• Manage graduate student recruitment, admissions, onboarding, teaching and research assignments, and degree completion. Assist faculty with logistics for graduate Candidacy Exams.
• Advise the Graduate Program Director and Graduate Committee members on University and departmental graduate and administrative policies and procedures.
• Act as liaison with the University’s Office of Graduate Studies, English Language Institute and the Office of International Students and Scholars, coordinating international graduate student admissions and employment eligibility.
• Assist undergraduate & graduate students with course registration/enrollment, transfer of credit, advisor assignments and billing assistance, using electronic systems (UDSIS, Webforms)
• Administer the graduate program budget and related expenses.
• Maintain all academic publications related to the graduate program including course inventory, catalog, website, directories, awards.
• Provide Cognos reports and data for graduate and undergraduate programs
• Assist as needed with coordination of administrative tasks for special events (Convocation, Honor Society programs, guest lectures) organized by the Department, assist Chair with special projects.
• Additional duties as assigned.

QUALIFICATIONS:

• High school diploma or GED, Associate’s degree preferred; three to five years of job-related experience or equivalent combination of education and experience.
• Command of general office practices and procedures; working knowledge of University financial, human resources and academic operations.
• Ability to make independent decisions as defined by the position description.
Ability to generate interpret data,
• Ability to supervise and evaluate the work of other office staff.
• Ability to plan, prioritize, balance, and review a variety of projects that must be completed simultaneously and on time.
• Ability to use advanced techniques in word processing, spreadsheet, database and presentation software.
• Ability to communicate effectively and interact well with people of all ages and diverse backgrounds.
• Familiarity with or interest in a foreign language and/or foreign cultures is desirable.
• University experience is desirable.
