Context of the Job:

Under the general supervision of the Academic Support Specialist, the Administrative Assistant Ill performs complex duties, both routine and non-routine, which include organizing and coordinating administrative activities in support of tutoring services, academic support and the summer Get Ready program.  Handles and prepares information, while keeping records of program-related matters requiring accuracy, discretion and tact in guarding personal information related to students and employees participating in the programs.  The Administrative Assistant III approves and reconciles hours for miscellaneous wage, graduate and undergraduate student tutors charged to multiple funding sources.

Major Responsibilities:

  • Reviews tutor applications and identifies students to be interviewed and trained across all five OAE programs/services including, individual tutoring, PASS, Study Groups, Drop-in and the GET READY program.
  • Coordinates communication to set up meetings, classroom tutoring space management, and tutoring service schedules for student workers and part-time staff that support all tutoring and summer programs led by the academic support specialist during the academic year.
  • Supports triaging the front desk with student workers and troubleshoots common errors in the Blue Hen Success tracking system.
  • Maintains and updates OAE website, student records through the use of an Excel Tutor Directory Databases and various google forms to track all OAE tutors; also tracking student participation attendance for tutoring services and academic support.
  • Assists with recruitment of new tutors and tracks all tutoring requests. Responds to departments & student requests for specific needs including providing data information to support reports for special programs including (RISE, EXCEL, AGCELERATE, SSSP, NWD Scholars, ADAPT Scholars, GET AHEAD, etc.) as well as Athletics and TRIO programs.
  • Responsible for summarizing OAE financial information; assigns ProCard allocations for card holders, approves and reconciles payroll for student tutors & part-time staff payroll in Workforce.
  • Assists Get Ready Coordinator with preparations for the summer program including; event planning, training, tutor scheduling and meeting coordination; collects participant data and prepares correspondence for other departments, prospective students and their guardians/parents.
  • Performs miscellaneous job-related duties and general administrative support as assigned.

Qualifications:

  • Minimum of a high school diploma or GED, Associate's degree preferred, and 3-5 years of experience of increasingly responsible administrative experience.
  • Experience in an educational setting is desirable.
  • Knowledge of office practices and procedures.
  • Hands-on experience with electronic information systems, specifically Word Press, Microsoft Office (Access, Excel, Word, and PowerPoint) and Google Apps.
  • Ability to handle multiple assignments; knowledge of payroll processing.
  • Ability to review and guide the work of student tutors.
  • Ability to communicate effectively and interact well with people of all ages and diverse backgrounds.
  • Knowledge of the principles and practices of general administration and organization preferred.
  • Demonstrates an understanding and consideration of the differing needs and concerns of individuals with varying identities, cultures and backgrounds.
