CONTEXT OF THE JOB:

The University of Delaware English Language Institute (ELI) is an academic unit within the College of Arts and Sciences.  The ELI offers intensive English programs for degree-seeking students, business professionals, and general English language learners. The ELI also offers specialized programs in PreMBA, legal English, teacher training, executive English, foreign university study abroad courses, private tutoring, and evening ESL study.  The ELI provides orientation, housing, and support for 2,000 English as a Second Language (ESL) students annually, as they transition to a new culture and academic setting.  Since many of ELI’s students go on to matriculate at UD, integrating our students into campus life is a critical program objective.  In addition, the ELI works with other units within the college and across campus to improve orientation and support for matriculated international students.

Under the general supervision of the ELI Orientation Coordinator, the Housing and Residential Life Coordinator is responsible for arrival logistics, housing oversight, and residential life counseling and programming for ELI students. This position reports directly to the Orientation Coordinator of the English Language Institute and supervises one miscellaneous wage employee.

Major Responsibilities:

  • Responsible for pre arrival communication, arrival reservations and move in to housing of all incoming students. Respond to all arrival inquiries, initiating communication when needed to ensure smooth arrival of new students. Arranges for shuttle and hotel reservations for arriving students. Communicate with agents and incoming students to answer general questions about the ELI and about housing, hotel and airport transfer concerns.
  • Coordinate with UD Housing and UD Conference Services for placement and housing of students in on-campus housing. Act as ELI liaison with ELI housing providers, both on and off campus, while maintaining relationships with housing partners – Studio Green, One Easton, Pine Brook, the INNternationale, Homestay, Rittenhouse Station, and The Retreat.  Monitor space inventory among housing providers, ensuring high occupancy levels.  Communicate, coordinate, and collaborate with homestay coordinator.
  • Maintain accurate records of student visa holders’ addresses for Department of Homeland Security (DHS) reporting. Prepare and process housing intention forms and room inspection procedures for move-out, maintaining accurate records of all ELI spaces.
  • Generate forms and information to students in ELI housing to facilitate move in and move out each session. Coordinate with housing providers on session end cleaning and maintenance issues of student housing units. Oversee inspection, check-out, cleaning of students in off-campus housing space.
  • Maintain and continually update student housing information in database. Provide timely information with regard to housing to ELI Finance and other administrative offices.
  • Responsible for collaborating with Student Health Services to ensure all incoming and current students are compliant with university immunization regulations. This includes immunization logistics during intake and orientation process as well as follow up
  • Assist Orientation Coordinator and other ELI administrators with housing-related emergencies. Assist with student housing crisis, which sometimes includes helping students move to a new apartment, picking up/dropping off keys, negotiating with apartment complexes, making quick decisions and offering support to students.
  • Assist Orientation Coordinator with cultural programming at key residential sites, such as the Global Community.  Assist Orientation Coordinator with ELI Global Community logistical needs including apartment inspections, key inventory, maintenance requests, move-in/move-out process and cleaning logistics

Qualifications:

  • High School diploma/GED with three to five years administrative experience. Associate's degree preferred. 
  • Experience in housing/residential life.    
  • Cross-cultural communication skills.
  • Ability to organize a large volume of work.
  • Organizational and attention to detail skills.  
  • Must be proficient in Microsoft Word, Excel, Access, PowerPoint, and Adobe PDFs.  Computer literate in all office software, including databases used in creating, archiving and placement of student information.
  • Time-management skills.   
  • Problem solving skills.

Special requirements:

  • Ability to be on-call at all times for current and new student emergencies and respond to all as needed.
  • Ability to work evenings and weekends as required
